Most cold outreach fails on the list, not the copy — stale contacts, the wrong seniority, or a segment so broad that no single email could be relevant to it. This is the method: define the profile before you buy anything, source deliberately, verify, segment, and only then write.

The order matters more than any individual step. Buying data before you can describe who you want is how people end up with a large file and no campaign.

Write down the ideal customer profile

Industry, company size, country, the role that signs off, and the role that feels the problem. If you cannot write it in two sentences, no list will save the campaign.

Decide what a qualified lead looks like

A reply is not a lead. Define the signal you are actually hunting — a meeting booked, a demo request, a reply that names a budget — before you measure anything.

Source the contacts

Three routes: build it yourself from public sources, use a subscription platform, or buy a filtered file. Buying is fastest and cheapest per record; building is slower but yours. Pick on time, not on principle.

Verify before the first send

Whoever built the list, verify it in your own tool. A verification date is a statement about a moment in time, and the moment has passed.

Segment into sendable groups

Cut the file by industry, role and size until each group could plausibly receive the same email. If one email cannot serve the whole group, the group is still too big.

Write for the segment, not the list

The first line should be unmistakably about their industry or role. This is what the eleven fields are for — company, title, size and location all belong in the copy.

Measure, prune, and go again

Kill the segments that do not reply, keep the ones that do, and remove every bounce and unsubscribe from the source database. The list gets better only if you feed the results back into it.

All three are legitimate. They differ on speed, cost per record, and how much of the work you do yourself.
Build it yourself
Public directories, company sites, professional networks, event lists. Cheapest in cash, most expensive in hours, and the data is genuinely yours. Right for a small, high-value segment.
Subscription platform
Live search, credits and integrations, from roughly two thousand dollars a year upward. Right when you need continuous, ongoing prospecting rather than one campaign.
Buy a filtered file
One-time, $99, delivered as CSV and XLSX. Right when you know the segment and want to start sending this week. No platform, no seats, no renewal.
The step after is the same
Verify, segment, warm the domain, send in waves. The source of the list changes none of that, and skipping it fails identically in all three cases.

Buying a hundred thousand loosely-matched rows feels like progress and is not. You cannot write a relevant email to a hundred thousand people, so you write a generic one, which produces complaints, which damages the domain, which then hurts the segments that would have worked. Narrow first. The list you can actually work is the list worth buying.

How big should a cold list be?
Big enough to fill your sending capacity for the campaign, and no bigger. For most small teams that is thousands, not hundreds of thousands.
It is faster and cheaper per record. Building is better when the segment is small enough to research by hand or when the relationship starts before the email. Both work; neither excuses skipping verification.
Then do not buy a file. A few hundred targets is a research job, not a data purchase, and we will tell you so when you ask for the count.
